The Department of Clinical Research (DCR) is an academic center and umbrella organization supporting clinical researchers at the University of Bern and the University Hospitals. It is comprised of a range of established academic research units, dedicated methodological divisions, a Clinical Investigation Unit, a Medical Data Science subunit established in 2025, and a Gender Medicine Unit scheduled for implementation in 2026.

The DCR is a multidisciplinary institution that serves as a central body for expertise, innovation, strategic leadership, modern pedagogical approaches, and integrated infrastructure to support clinical research. It offers support to clinical researchers, along the entire research process from study design to implementation. DCR maintains close collaborative ties with the Medical Faculty of the University of Bern and the associated University Hospitals.

What you can expect

We are seeking a highly organized and proactive Administrative Assistant to support senior team members and contribute to the smooth functioning of our unit. This varied role includes administrative, organizational, and financial tasks and offers the opportunity to contribute to clinical research activities in a dynamic academic setting.

Key Responsibilities:
  • Manage and coordinate complex calendars, appointments, and meetings for multiple senior staff members, ensuring efficient scheduling and prioritization of commitments.
  • Actively support internal projects and initiatives, including preparation, documentation, and follow-up.
  • Assist in planning and executing events, workshops, and internal meetings, including agenda preparation, invitations, and onsite coordination.
  • Record accurate meeting minutes and distribute summaries to relevant stakeholders.
  • Organize travel arrangements and handle travel expense claims in line with internal procedures.
  • Provide support with budget tracking, invoice processing, and financial documentation.
  • Assist with general office management and administrative workflows.
  • Serve as a key point of contact for internal and external stakeholders, maintaining professional communication and confidentiality at all times.

Your Profile

  • Proven experience in a similar administrative or office support role.
  • Strong organizational and multitasking abilities with attention to detail.
  • Good written and verbal communication skills in English; proficiency in other languages is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency in MS Office Suite and familiarity with scheduling and travel management tools.
  • Knowledge of basic budgeting and invoice processing is an advantage.
